Write the production brief before requesting a quote
Choose a digitizing service by confirming its machine-format deliverables, fabric-specific programming and sew-out support. Send a production brief with the quote request, not only a logo.

Include:
- the original artwork;
- finished width and height, including the measurement unit;
- placement, such as left chest, cap front or jacket back;
- garment type, fabric and relevant construction details;
- embroidery machine brand and model, plus the required stitch format;
- the intended colour sequence and production setup; and
- the required completion date and rush requirement, if any.
Digitizing Ninjas asks for the design, format, width, height, measurement unit, rush choice and whether the design is for a cap, hat or shirt.[2] PRO digitizing asks for finished size or placement, garment type and machine format, and says these details improve quote accuracy.[4] Confirm the machine and production setup directly rather than assuming every order form collects them.
Do not assume one stitch file can move unchanged between products. PRO digitizing says a polo left-chest design may not sew correctly on a cap because caps can require different sequencing, pull compensation and construction. Jackets, bags, patches and delicate fabrics may also require adjustments.[4]
A PNG, JPG, PDF, AI, EPS or SVG file is not an embroidery program. Digitizing defines stitch paths, stitch types, direction, density, sequencing, underlay, pull compensation and trims; changing an artwork file extension does not create those instructions.[4][5]
Vector conversion is a separate service that creates scalable artwork for uses such as printing, cutting and engraving. A provider may use vector artwork as input for digitizing, but the vector file is not the machine stitch program.[1][3][4][5] Digitizing also need not include garment production: Digitizing Ninjas states that its service excludes sewing and actual embroidery.[2]
Compare format, fabric programming and sew-out support
Monfil
- Machine-format deliverables: Monfil advertises digitizing for all machine formats, plus editing and resizing. Vector creation and conversion are separate services.[1]
- Fabric or placement programming: Confirm fabric, underlay and placement-programming requirements directly.
- Revision and sew-out support: Monfil advertises revisions until satisfaction without a numerical limit.[1] Confirm whether a representative physical sew-out is included.
Digitizing Ninjas
- Machine-format deliverables: Digitizing Ninjas usually supplies DST, PES and EMB, lists additional machine formats and includes a colour chart.[2]
- Fabric or placement programming: Its order process distinguishes cap, hat and shirt applications.[2] Confirm the fabric-programming method directly.
- Revision and sew-out support: It advertises free minor edits, resizing and format conversion, plus a fix-or-refund policy if it cannot make the design work. It expressly declines routine sample sew-outs.[2]
EmbroideryDigitizing.CA
- Machine-format deliverables: Confirm the required format before ordering.
- Fabric or placement programming: Confirm fabric- and placement-dependent programming before ordering.
- Revision and sew-out support: Payment is made in advance, customer feedback is followed by correction, and final delivery follows approval. The company advertises unlimited free revisions.[3] Confirm whether a representative physical sew-out is included.
PRO digitizing
- Machine-format deliverables: PRO digitizing lists DST, PES, JEF, HUS, VIP, VP3, XXX and EXP. Editable EMB or NGS working files are available on request.[4]
- Fabric or placement programming: The company says it adjusts stitch direction, underlay, density, pull compensation, trims and sequencing for the artwork, fabric, garment type and finished size.[4]
- Revision and sew-out support: It offers no-charge sew-quality corrections for registration, stitch quality, density and minor changes that improve the sew-out.[4] Confirm whether every file includes a customer-specific physical sample.
Vitor Digitizing
- Machine-format deliverables: The cited page says the design is saved in the proper file format for the embroidery machine being used, so confirm the required format directly.[5]
- Fabric or placement programming: Vitor Digitizing reports operating ZSK and Barudan equipment.[5] Confirm fabric- and placement-specific programming separately.
- Revision and sew-out support: It advertises unlimited revisions and no hidden fees.[5] Confirm whether a customer-specific physical sew-out is included.
SEDigitizing Canada
- Machine-format deliverables: SEDigitizing Canada specifically describes DST creation and PES conversion.[6]
- Fabric or placement programming: It says stitch types, densities and colours are adjusted for Tajima machines.[6] Confirm broader fabric-specific requirements directly.
- Revision and sew-out support: Confirm the revision limits and representative physical sew-out policy.
PRO digitizing associates DST with commercial machines such as Tajima, Barudan, Melco, Happy, SWF and ZSK; PES with Brother and Baby Lock; JEF with Janome; and VP3 with Husqvarna Viking and Pfaff. These are common associations, not universal compatibility guarantees, so confirm the format against the actual machine.[4]
The descriptions from Monfil, Digitizing Ninjas, EmbroideryDigitizing.CA and PRO digitizing are vendor claims, not independent quality findings.[1][2][3][4] The same applies to Vitor Digitizing and SEDigitizing.[5][6]
Compare published prices and turnaround separately
- Monfil: Digitizing price and turnaround are supplied by quote.[1]
- EmbroideryDigitizing.CA: Payment is required in advance, with corrections following customer feedback and final delivery after approval.[3]
- PRO digitizing: Vendor-published prices start at US$15 for simple digitizing and US$20 for complex work. Most standard orders are described as next-business-day; qualifying rush orders may take two to four hours, depending on complexity, size, stitch count, volume and submission time.[4]
- Vitor Digitizing: Standard turnaround is advertised as the day after receipt, excluding Sundays; faster work requires a rush order.[5]
- SEDigitizing Canada: Urgent service is offered, but the cited page gives no numerical turnaround.[6]
These pages are undated. Reconfirm the project price, delivery date and currency before paying.
Define ownership, resizing and revision boundaries
Treat the machine-ready file and native working file as separate deliverables. PRO digitizing lists production formats such as DST and PES and says editable EMB or NGS files are available on request. Availability does not establish ownership, copyright assignment or reuse rights.[4]
Define resizing in the order confirmation. Digitizing Ninjas advertises free resizing, while PRO digitizing says a size change from the original order may incur an additional fee.[2][4] State the dimensions included in the order and ask whether another size requires a simple adjustment or a new digitizing charge.
Revision promises also differ. Digitizing Ninjas advertises free edits, resizing and format conversion; PRO digitizing separates no-charge sew-quality corrections from potentially chargeable artwork or size changes.[2][4] EmbroideryDigitizing.CA and Vitor Digitizing advertise unlimited revisions, while Monfil promises revisions until satisfaction without stating a numerical limit.[1][3][5]
Run a representative physical sew-out
Agree on who will run the test, what material and equipment will be used, and who pays for another sample if the first fails. Digitizing Ninjas expressly says it does not routinely provide sample sew-outs because of the time and cost involved.[2]
Run the delivered file on the intended machine using a production-representative garment or fabric, placement and hooping setup. Machine limitations, hooping and fabric compatibility can affect production, while programming choices may vary with the garment, fabric, size and placement.[1][4]
- Confirm size and placement. Check the finished dimensions and position before examining finer details.[2][4]
- Inspect alignment. Look for outline-registration errors and misalignment between elements. Observe whether stitch direction, underlay and pull compensation suit the material.[3][4]
- Assess coverage. Check density and coverage for visible gaps or excessive build-up, then inspect the surrounding fabric for puckering or distortion.[3][4]
- Review machine movement. Record unnecessary trims, visible jump stitches and sequencing that produces an untidy result.[3][4]
- Verify colour order and operation. Confirm the intended thread-change sequence and record thread breaks or machine stoppages.[3][4]
Special constructions require a sequence check, not approval from a screen preview alone. PRO digitizing says its cap files run centre-out to address seam distortion, appliqué files include placement, tack-down and finishing stitches, and 3D-puff files use foam density and capping stitches.[4]
Monfil, Digitizing Ninjas and EmbroideryDigitizing.CA do not establish an independent Canadian acceptance standard or numerical pass/fail tolerances on their cited pages.[1][2][3] Neither do PRO digitizing, Vitor Digitizing or SEDigitizing.[4][5][6] Define the acceptance method for the project, approve the exact file version tested, and retain the sewn sample, photos, notes and machine details.
Classify a failed test before requesting a revision
Record the cause of a failed sew-out before treating it as a digitizing defect:
- Stitch program: Record outline registration, density, stitch quality or another defect found under the approved production conditions.[4]
- Machine or format: Record the machine, stitch-file format and loading or compatibility problem. Machine-ready files are distinct from ordinary artwork files.[2][4]
- Garment or fabric: Identify the garment and test material. Fabric incompatibility and changed garment construction can affect production results.[1][4]
- Hooping and setup: Document hooping, operator setup and production notes. Monfil identifies machine limitations, hooping and user error as possible non-digitizing causes.[1]
- Changed artwork or size: Identify any change to the approved design, dimensions or placement.[2][4]
PRO digitizing includes outline registration, stitch quality, density and minor sew-out improvements in its no-charge correction policy. It says artwork or size changes may cost extra.[4] Price a changed placement or garment construction before work continues rather than assuming it qualifies as a free revision.
Revision request: Include the approved artwork and dimensions, stitch-file name and version, machine and format, garment or test material, defect location, clear photos, hooping and production notes, changes from the original order, and the correction requested.
What to confirm with each provider
The cited pages do not state complete ownership, copyright, licensing, exclusivity, reuse or file-retention terms.[1][2][3][4] Vitor Digitizing and SEDigitizing likewise do not state these terms on their cited pages.[5][6]
- the exact machine-ready format and compatibility with the named machine;
- whether native or editable files are included and who owns them;
- permission to reuse the file or send it to another embroiderer;
- the dimensions, fabrics and placements covered by the order;
- the boundary between a free correction and a chargeable change;
- who performs and pays for the representative sew-out;
- thread, needle, stabilizer, bobbin, tension and hooping specifications;
- acceptance tolerances for dimensions, registration, puckering, trims and breaks;
- the final amount in Canadian dollars, taxes and foreign-exchange handling;
- cancellation, refund and chargeback terms;
- governing law; and
- how long the provider retains the artwork and working files.
Go/no-go rule: Do not approve a larger garment run until the required format, programming scope, revision boundaries and commercial terms are documented and the named file version has passed the agreed representative sew-out.
